How to Add Page Numbers to a PDF

Your PDF didn't come with page numbers and the source file is long gone. Here's how to add them directly to the PDF itself.

Page numbers matter most exactly when you don't have them - in a meeting where someone says "turn to page 14" and half the room is scrolling a PDF with no numbers in sight. If the source document is long gone, or was never designed with numbering in the first place, you can still add page numbers straight to the finished PDF.

Adding page numbers directly to a PDF

  1. Open the PDF in an online editor.
  2. Add a text box in the corner of the page where you want the number to appear - bottom-center and bottom-right are the two most common placements.
  3. Type the page number for that page.
  4. Repeat for each page, or copy the text box's position across pages if your editor supports duplicating an element.
  5. Export and check a few pages to confirm the placement looks consistent throughout the document.

Where to actually put the number

Bottom-center is the safest default for most documents - it's out of the way of body text and reads naturally. Bottom-right works well for documents that already have a footer on the left (like a document title or confidentiality notice), since it balances the page rather than crowding one side.

Numbering after a cover page or table of contents

It's common for the first one or two pages of a document (a cover page, a title page) to stay unnumbered, with numbering starting fresh on the first real content page. Since you're placing each number by hand, this is simple - just skip the pages you don't want numbered and start the sequence wherever the content actually begins.

Numbering a document you've already merged

If you've just merged several PDFs into one, add the page numbers after the merge, not before - numbering each source file separately before combining them will produce duplicate or out-of-order numbers once they're joined into a single document.
